What to put on a quote in the US
No IRS rule sets what a quote must contain, so it is about being clear. A good quote shows:
- Your business name, contact details and EIN
- Your customer's name
- A quote number and the date
- A valid-until date, so prices do not stay open for ever
- Each item or task with its quantity and price
- Sales tax shown separately if you are registered, so your customer sees the full price
- Your terms: deposit, what is not included, and how long the work takes

Should a quote include Sales tax?
If you are registered for Sales tax, show it separately so your customer sees the full price they will pay.
How long should a quote stay valid?
There is no set period. Between 14 and 30 days is common. Put the date on the quote so both sides know.
